Activity of Personal Information Protection

Hitachi Solutions East Japan, Ltd. (hereinafter referred to as "HSE") will follow the Japanese laws, guidelines, and other norms for the handling of personal information, as a corporate social responsibility (CSR). Hitachi Solutions East Japan will operate in order to win the customer's trust, and be continuously supported in the future.

Contents of Activity

HSE has prescribed the personal information protection policy to appropriately protect personal information entrusted to us, and has established a unique rule for protection/management and protection propulsion system involving the Personal Information Protection General Manager combined with the board member as head, for our activities. According to these efforts, HSE has been granted the Privacy Mark (February 2009 Certified, No.11820180(04)), which is granted to businesses certified as handling personal information in an appropriate way, by an accreditation organization (JIPDEC: Japan Information Processing Development Corporation ).

Hitachi Solutions East Japan Personal Information Protection Policy

HSE TO will follow Japanese laws, guidelines, and other norms for the handling of personal information. Moreover, HSE will establish an independent rule and system also regarding the international trend, vowing to contribute to the sound development of an advanced information-telecommunication society. HSE proclaims to prescribe the personal information protection policy as follows, and continuously act upon it.

  1. Collect, use and provide personal information

    While carefully considering the solution business related to information systems operated as core business at each business establishment, HSE will handle such information appropriately by establishing a management system for personal information protection for each type of business, and by taking measures not to handle personal information exceeding the scope necessary to achieve the specified usage purpose, and also by following our rules for collecting, using or providing personal information.

  2. Follow laws, guidelines and other norms

    HSE will follow the Japanese laws, guidelines and other norms for the handling of personal information. Also, HSE will conform our compliance program with personal information protection to such laws, guidelines and other norms.

  3. Implement safety measures and correct problems

    To ensure the correctness and safety of personal information, in accordance with the rules for information security, HSE will implement various measures such as managing access to personal information, restricting the means for transporting personal information outside the company and preventing incorrect access from outside the company, and strive to prevent the leakage, loss or destruction of personal information. In addition, when any problems regarding safety measures are found, Hitachi Solutions East Japan will identify the cause to take corrective measures.

  4. Responding to complaints and consultation

    HSE will strive to take an appropriate and prompt response to complaints and consultation concerning the handling of personal information, while building the necessary system to achieve it. Based on respect toward a person's request for her/his personal information, when a person wants to request to disclose, correct, add, delete, stop usage, stop provision to a third party, or notify the purpose of usage of his/her personal information, HSE will also respond with an appropriate scope in the light of Japanese laws, and other conventional wisdom or customary practice,

  5. Perform formulation and continuing improvement of Compliance Program

    HSE will make sure that executive staff and workers recognize the importance of personal information protection, and will establish Compliance Program for personal information protection to appropriately protect personal information and ensure it is put into execution, maintained, and improved continually.

Handling Policy of Personal Information

According to the Personal Information Protection Policy, HSE will handle the personal information as follows.

  1. Purpose of the use of Personal Information

    HSE will collect/use personal information to achieve the following purposes.

    1. Sending of information on events and service on products.
    2. Sending of information on seminars held by HSE and partner.
    3. Execution of a contract concluded between HSE and a customer.
    4. Contacts for business negotiations and meetings with a customer.
    5. Delivery of after-sales service on products.
    6. Execution of business, including system development, operation and maintenance, entrusted by customers.
    7. Delivery of various membership services.
    8. Response to various inquiries from a customer.
    9. Analysis based on questionnaires to improve products and services.
    10. Provision of personal information to the group company in case of co-operation with them.
  2. Provision and Deposit of Personal Information

    HSE will not provide or deposit personal information to a third party, except the following cases.

    1. Cases in which the provision of personal information is based on the prior consent from the person.
    2. Cases in which the provision of personal information is based on laws.
    3. Cases in which the provision of personal information is necessary for the protection of the life, body, or property of an individual and in which it is difficult to obtain the consent of the person.
    4. Cases in which the provision of personal information is specially necessary for improving public hygiene or promoting the sound growth of children and in which it is difficult to obtain the consent of the person
    5. Cases in which the provision of personal information is necessary for cooperating with a state institution, a local public body, or an individual or entity entrusted by one in executing the operations prescribed by laws and in which obtaining the consent of the person might impede the execution of the operations concerned.
    6. Cases in which an entry handling personal information entrust the handling of personal information in whole or in part within the scope necessary for the achievement of the Purpose of Use.
    7. Case in which personal information is provided as a result of the take-over of business in a merger or otherwise.When required to do so for business activities in which HSE is co-operating with the group companies or business partners, HSE may provide such group companies and business partners with personal information such as a name, workplace or home addresses, telephone number, fax number, e-mail address, etc. If this is the case, the personal information will be provided in print or electronic media. In addition, the person may request us to stop the provision of the personal information with the group companies.
  3. Request to Disclose Personal Information

    When a customer herself/himself or representative wants to request to disclose, correct, or delete her/his personal information, HSE will disclose, correct, or delete the personal information within a rational scope, except the following cases.

    1. Cases in which there is a possibility of damaging the life, body, property, or other benefits of a person or a third party.
    2. Cases in which it is recognized that it may impede the execution of the operations of HSE
    3. Cases in which it is violating the law.

  4. Request to Person

    Please decide whether or not to register the customer's personal information, according to the intention of the customer herself/himself. However, please note that some services (including response to inquiries, etc.) are only available with the registration of the personal information.

  5. About Usage of Cookies and Web beacons

    HSE uses cookies*1 and Web beacons (clear GIF)*2 in part of the website to make it more conveniently to use for person.
    A person can refuse to receive a cookie, or can display a warning message when receiving a cookie by changing the setting of a web browser. For more details, please see the instructions of a web browser you are using. Moreover, a person can reject a Web beacon by setting to refuse the receipt of a cookie.
    But, in the first case, please note that a person may not be able to use the all or part of our services provided in the website.

    Cookies:
    Mean information exchanged one another between a web server that controls a web site and a web browser that a person uses. Cookies may be saved as files in the disk of a person's PC. If you use a cookie, the web server can track and record information about which pages in the web site the particular computer visits etc.
    However, we cannot identify the person unless he or she enters the personal information into the web site.

    Web Beacons:
    Mean technology that functions with a cookie to check how many times a person accesses a particular page. However, we cannot identify the person unless he or she enters the personal information when receiving cookies.
  6. Special Note
    1. Our personal information protection policy shall be in accordance with the laws of Japan.
    2. HSE may revise this document, "About Personal Information Protection," to improve the handling of personal information and/or due to the revision of laws or ordinances, or other rules or regulations.
    3. The implementation of this document, "About Personal Information Protection," shall be after the issued date (or revised date).
    4. If each HSE website has its own personal information policy, this policy shall supersede the provisions of any other policies in the HSE websites.
    5. Please note that HSE is not responsible for the security of personal information in any non- HSE web site whose link is included in the HSE's web site.

Concerning Method of Payment for the Service Charge

In cases where the person requests notification of the purpose of use according to Article 24, Item 2 of the Act on the Protection of Personal Information (hereafter, the "Act") or requests disclosure according to Article 25, Item 1 of the Act, the person is required to pay a service charge of 800 yen per request, based on Article 30 of the Act. Details on the method of payment for the service charge are as follows:
